Hi team, I know this article is an old one and I am familiar with Monday Spaces but I have a question about Spaces and I thought here was as good a place as any to share.
Is there any way to create a Monday Space where the creator has control over who can access the Space? Ie an invite or private url is required to access the space or even payment is required to access it? Monday Spaces is the perfect vehicle for me to deliver the Monday systems I create to clients more easily but I don’t want to give away my work to the world for free. And the Cross Account Copier has serious limitations (server region, needing Admin access) which make it less suitable for this purpose.
Cheers,
Patrick
Great question! I would utilize this also. I've had some issues with the copier recently as well.
Thanks for your question about monday spaces.
Currently, creating a space with controlled access for external users (like an invite, private URL, or paid access) isn’t an option (for security reasons).
I understand the importance of keeping your work secure and am here to support you with any other available solutions.
The alternative solution would be utilizing the Workspace templates. You can learn more about it here:

Thanks Roy, but the support documentation for Workspace templates includes these words;
- Description: A description of the workspace template that will appear to users in the template store
Does this not mean that the Workspace Template I create in my app will be publicly available in the Template Centre? If so, this is exactly what I am trying to avoid and the reason I won’t use Monday Spaces.
If I am correct in thinking that the Workspace Template created in my App will be publicly accessible, is there any way to create a Workspace Template that other Monday accounts can access but only if shared/given permission by me?
Also, if I go the Workspace Template route instead of Monday Spaces, is an approval process required?
Thanks for your help,
Patrick
Also, as I am not a developer and do not code and the requirements for creating a Monday app seem quite full-on, and I gather apps are subject to an approval process, this seems like a very painful, time-consuming way to share Monday builds with other accounts, especially as my app is not even guaranteed to be approved by the team at Monday. Surely there is an easier way to share Workspaces in a way that is easy for users on other accounts to install without making everything available to the general public? The Cross Account Copier is limited and the requirement for Admin access to both accounts is offputting to many users for security reasons.
Based on the information provided in the knowledge base sources I provided in my previous message, I can address your concerns about Workspace Templates and sharing options in monday.com. With that said, I recommend contacting support@monday.com, or appsupport@monday.com since these are all great but technical questions.
-
Regarding public availability of Workspace Templates: Workspace Templates created as part of an app are not automatically publicly available in the Template Centre. According to the Apps > Docs > Who can use your monday apps? document, you have options for creating private, public, or marketplace apps. You can create a private app that is exclusive to your monday.com account, or a public app that you can share with specific users or accounts without making it available to everyone.
-
Sharing Workspaces without public access: Yes, there is a way to share Workspaces with specific accounts without making them public. As mentioned in the Apps > Docs > Share your app document, you can create a public app and share it with specific monday.com accounts. The document states: "You can select Share with specific monday accounts and list their account URLs if you want to restrict access to specific accounts."
-
Approval process for Workspace Templates: If you're not submitting your Workspace Template to the app marketplace, you don't need to go through the formal approval process. The approval process is specifically for apps that will be listed in the public marketplace, as described in the Apps > Docs > Submit your app document.
-
However, it's important to note that creating an app, even a private or limited-share one, does require some technical knowledge. The process involves using the Developer Center and potentially working with APIs, which might be challenging if you're not a developer.
-
Regarding monday spaces - this initiative has been sunset and will not be developed any more.
Given your concerns about the complexity of creating an app and the desire for an easier sharing method, you might want to explore other options or reach out to monday.com support for alternative solutions that better fit your needs and technical skills. The current documentation doesn't mention a simpler method for sharing Workspaces with restricted access outside of the app framework or Cross Account Copier.
